Notes, Terms and Conditions and Registration Form

A. NOTIFICATION Please let us know which poem you are intending to use as the inspiration for your textile picture as soon as possible 

   Artists wishing to use poems which have not previously been published must   forward their proposed poem to the PiS poetry panel for editorial approval.    Unpublished and new poems are very welcome and they can be sent in to the   panel for approval at any time but we would strongly advise artists to have   their proposed poem approved before starting their picture.

B. REGISTRATION Friday 18th March 2011 - Final date for registration of all entries

C.  WORK IN Friday 15th April 2011 – Finished work should arrive at NNA office (Newbury) no later than this date.

Entries will not be accepted after these dates unless individually agreed with the NNA.

You are invited to submit a textile picture which is an interpretation of a poem. Complete text reproductions of a poem are not eligible.

Any worked textile technique can be used for Poetry in Stitches 3 pictures as long as the size and depth restrictions are followed. For the purposes of this project, pictures which are more than 70% painted will be considered to be paintings rather than worked textiles and are not eligible for Poetry in Stitches 3 .

SIZE  The size of the finished work MUST be 61 cms by 61 cms (24 inches by 24 inches). This is an exact size, as each piece may have to fit into a standardised frame. Any three dimensional features of the work must not exceed 2 cms ( ¾ ” ) in depth.  Work not complying with the specified size cannot be accepted.

MOUNTING   Any technique including quilting, cross-stitch, embroidery, rugs, knitting, crochet, lace etc. can be used. Canvas work, embroideries or similar work which has to be stretched over a support should have a finished depth of no more than 2.5 cms (1 inch) and must be submitted ready stretched over a simple square support or lightweight board, with no decorative frame of any kind. Quilt type pieces do not need a hanging sleeve. (Please note that the sides of the work will be visible at all times).

HANGING  For hanging purposes, all work entered, of whatever type, must have a strip of hook-faced (this is the rough bit, not the soft bit) velcro affixed to the back of the work, along the entire width of the top edge, and positioned 1 cm from the top edge. (Self adhesive velcro is not suitable as it comes unstuck when it is warm. The velcro must be either stitched onto the fabric backing, or stapled into any wooden support) 

All work must be submitted finished and ready to hang.

Any other mounting or hanging method must be agreed with the project.

LABEL  Each piece of work must have a label firmly fixed to the back of the work. The label must state:

1. The owner’s name 2. Address 3. Telephone number and 4.The title of the poem used to inspire the piece.

It is essential that the information about the poem you have chosen is completed in full on the Registration Form. Failure to provide this information in full will preclude the piece from participation in the project.  If you are not using one of the poems in the Poetry in Stitches 3 booklet, please use the Notification Form to notify the NNA at the earliest possible time, of the full details of the poem you are intending to use. 

Even where a fragment of a long poem is used, details of the whole poem must be provided and the fragment used should be clearly indicated (Fragments should be no less than 8 lines)

The Poetry in Stitches 3 poem booklet is available to purchase at £2.50 plus 50p p&p, but you may use any other poem of your choice. If you use a poem which is not in the PiS3 booklet then you must give the NNA the full details about the poem immediately you have made a firm decision to use it, in order to give the NNA time to get copyright clearance for printed copies to accompany the textile piece at the exhibitions.

5.  All persons participating in any way in the production of the textile art piece must be noted in full. The textile work will be credited [wherever possible] either to a single artist or to a named group (max. 6 words) as entered on the Registration Form.

 

6.  EXHIBITIONS  The NNA will endeavour to ensure that all submitted work will be displayed at one or more of their exhibitions during 20011/2012. [Round 1 & 2 entrants were all exhibited at no less than nine exhibitions]. Subsequently, selected pieces will be individually displayed in appropriate public locations in the UK. It is our intention to exhibit as many of the submitted works as possible, but it may not be possible to exhibit every piece for whatever reason.

At the collective exhibitions, the textile pieces will be displayed on appropriate stand walls, uncovered. When displayed in a public, unstewarded venue, the work will be mounted in an enclosed frame where necessary.

7.  A separate Registration Form and fee of £10.00 is payable for each entry. Registration fees are non-returnable. Entrants may submit more than one piece of work but each piece requires a separate registration form and fee.       
All monies support the administration costs of the project.

Note: If the project is substantially over-subscribed a selection procedure may be instituted. In this event pieces of work not selected for participation will be returned to the artists in the autumn of 2011 together with their registration fee, less the cost of return postage. This has not happened in the past and the NNA will endeavour to avoid this.

8.  In the competition element of the project there will be three competition judges appointed by The National Needlework Archive. The primary criteria used for the judges’ decision on the winning entries will be: which work, in their opinion, best interprets the poem chosen by the entrant, and the technical quality of the work. 
The judges’ decision is final.

9. The prize for the winners of the Professional and Amateur classes will be a piece of engraved commemorative glassware, a copy of the Poetry in Stitches 3 publication, and a Poetry in Stitches 3 Winner’s Certificate. Prizes will be offered for: 1. Best Professional Entry  2. Best Amateur Entry  3. Other Amateur entry which best interprets one of the poems from the Poetry in Stitches 3 booklet. These categories may be amended and more prizes may be awarded at the judges’ discretion.

There are no monetary alternatives to prizes offered. 

10. For the purposes of clarification, a professional shall be defined as:  

a) Someone who teaches the predominant technique featured in the work. 

b) Someone who has written a book on the predominant technique featured in the work. 

c) Someone who judges the predominant technique featured in the work. 

d) Someone who sells or designs using this method, as a profession. 

e) Someone who has won a major award such as Best of Show/Championship on two or more occasions.

If disputed, the judges’ decision as to what constitutes the predominant technique will be final.

11. The textile art pieces will remain the property of the artists and will be returned to them at the end of the project. Although the NNA and its agents will take every care to ensure the safety of the piece, work is submitted to the project at the owner’s own risk. In any event, the monetary value of any piece will be deemed to be no greater than £40 unless previously agreed in writing. (However, if you wish to put the item up for sale during the project (for delivery at the end of the project), it can be sold for any price stipulated by the artist). After the beginning of the first Poetry in Stitches 3 exhibition in 2011 work cannot be reclaimed until the end of the project. This will not be before May 2013.

12. Registration with the “Poetry in Stitches 3” project acknowledges your acceptance of the notes, terms and conditions set out. This includes agreement for any submitted text and any photographs, or film footage, of the work to be used by The National Needlework Archive, or persons nominated by them, to publicise, promote, catalogue, or in any other way illustrate the “Poetry in Stitches” projects at any time. It is intended that a selection of pieces will be included in an illustrated publication.

13. The NNA reserves the right to exclude or withdraw any poem or textile work from any part of the project, for whatever reason, at any time, at its discretion and without explanation or redress, financial or otherwise.

14. Non compliance with any of the notes, terms and conditions will disqualify an entrant from participation in the competition and/or the exhibitions.
